Terms of ServicePrivacy Policy

These terms apply to CaseHawk, the Discord application operated by the CaseHawk administrators for the Ridgeway court roleplay community (“we”, “us”, or “our”). By using CaseHawk, you agree to these terms. If you do not agree, stop using the application. Our Privacy Policy explains how we handle information.

1. What CaseHawk does

CaseHawk helps participating Discord servers manage roleplay court cases, channels, roles, deadlines, summons, transcripts, filings, court mail, and notifications. Some features connect to RW Courts at rwcourts.org or use automated case review. Features depend on server configuration, your permissions, and the access granted by Discord.

Ridgeway courts and their proceedings are part of a fictional roleplay community. CaseHawk does not provide legal advice, represent a real court, or create real-world court orders. The application is independently operated and is not endorsed by Discord or Roblox.

2. Eligibility and account access

You must meet Discord's minimum age requirements for your location and follow its Terms of Service and Community Guidelines. If you need a parent or guardian's permission to agree to these terms, obtain it before using CaseHawk.

Use only accounts and court roles you are authorized to use. Keep your account secure, provide accurate account-linking information, and report unauthorized access. Installing or configuring CaseHawk requires authority to act for the Discord server. Server administrators are responsible for assigning suitable permissions and making participants aware of case-channel recording.

3. Acceptable use

  • Use CaseHawk only for authorized community and court-roleplay activities.
  • Do not harass others, expose private information, impersonate staff, or submit unlawful content.
  • Do not bypass access controls, misuse account links, extract records without permission, or disrupt the service.
  • Do not upload passwords, access tokens, or unnecessary real-world sensitive information into roleplay records.
  • Respect other people's intellectual property and the rules of the participating server.

4. Your content and case records

You retain your rights in content you submit. You give us permission to process, store, reproduce, and share that content as needed to carry out the features you use, such as delivering messages, creating transcripts, filing documents, and managing case records. Submit only material you have the right to provide.

Messages in tracked case channels may be recorded, and original text may be reposted after edits or deletions. Transcripts and filings may be available to case participants, court staff, or the public, depending on where they are posted and the applicable access settings. Deleting a Discord message or unlinking your account does not automatically erase existing records. See the Privacy Policy for data-request instructions.

5. Automation and availability

Automated summaries, extracted text, reminders, and case actions can be incomplete or incorrect. When enabled by authorized court staff, automated review may generate or execute roleplay case actions. Check important records and report mistakes to court staff; do not rely on the bot for real-world legal decisions or deadlines.

We may update, limit, suspend, or discontinue features, including when required by Discord or to address misuse or service problems. We do not guarantee uninterrupted availability, delivery of every notification, or error-free results. To the extent permitted by applicable law, the service is provided as available without warranties. Nothing in these terms excludes rights or liabilities that applicable law does not allow us to exclude.

6. Stopping use and changes to these terms

You may stop using CaseHawk, unlink your court account, or ask a server administrator to remove the application. We may restrict access for misuse or violations of these terms. Stopping use does not itself delete stored records; you can request deletion under the Privacy Policy.

We will publish revised terms on this page with an updated effective date and communicate material changes through the application or the participating Discord community. Continued use after updated terms take effect is subject to those terms.

7. Contact

Contact CaseHawk administrators through the Discord server where you use the bot. Ask the server owner or court staff to connect you with a CaseHawk administrator for support, privacy questions, or a data request. Use a private conversation for personal information; never send your password or account token.
